Backoffice Manager

CIVIDEC is a successful international technology company, located in Vienna, which provides high-tech instrumentation for science and research. We have grown in the last years and now it is time to look for somebody who organizes our backoffice activities. You will be responsible for all non-scientific activities, but no worries – our toilet is cleaned by the boss.

We offer a 20 hours/week position with flexible working hours in an interesting and versatile field of activities. The salary will be based on the Austrian collective treaty: Kollektivvertrag für Angestellte im Handwerk und Gewerbe, in der Dienstleistung, in Information und Consulting, Beschäftigungsgruppe III.

Your responsibilities:

  • Business accountancy: monthly preparation of accounting, bank transfers and accounts management.
  • Administration of human resources: administration of employees, in particular time management, organisation of travels, conferences and exhibitions.
  • Customer administration: handling of correspondence, import/export formalities, packaging, incoterms, VAT regulations.
  • Office administration: contracts with external providers, materials stock, answering office telephone and maintenance of the office.

Qualification: We are looking for an autonomous person with a strong sense of responsibility. Your education should be business school level (HAK-Matura or similar) with at least 5 years of experience as an administrator or secretary. We require a minimum level B2 in spoken and written English and German.
